Pour up a mint julep, place your bets, and put on your most outlandish hat. Every first Saturday in May, the Southern city of Louisville, Kentucky, welcomes more than 150,000 people to Churchill Downs for the Kentucky Derby.

Known as “The Most Exciting Two Minutes in Sports,” the Kentucky Derby is an annual horse racing competition. The best thoroughbreds and riders from around the world gather to compete in the prestigious event.

Attending Derby Week, the main event as well as preliminary events, is as exciting as it is exclusive. Ticket prices range from hundreds to thousands of dollars and local hotel prices skyrocket. Private jet traffic into the Louisville area nearly triples during Derby Week as race teams, owners, vendors, and fans arrive.

For optimal comfort and ease of travel, flying privately to the Kentucky Derby, which will be run this year on May 3, offers an unparalleled experience. Before you pack your best pastels, it’s crucial to become familiar with the event and charter logistics for a seamless and enjoyable journey.

Booking a Charter Flight

When it comes to planning travel to the Kentucky Derby, the earlier the better. Hotels and transportation are in high demand the week of the events, so those who plan ahead will have the best experience.

When booking a private jet charter, there are a few key considerations to make in advance.

Finding a charter company

Not all private jet companies operate exactly alike, so it’s important to find the right one for you.

Some charter operations like Trilogy Aviation Group and Magellan Jets offer one-time flight bookings, which is a great fit for those with less predictable travel schedules. Companies like Magellan Jets have membership programs for more frequent flyers. The official private aviation partner of the Kentucky Derby, Sentient Jet, has a membership program with additional perks just for Kentucky Derby attendees.

Other factors surrounding trip logistics can help narrow down the best option for your travels. Clarifying how much space you’ll need on board, which airports will be used, and services you’d like to have in flight or on the ground may reveal an obvious choice.

No detail is overlooked, guaranteeing an exceptional and seamless experience. Our Private Aviation Advisors collaborate with the industry's most experienced and talented crews to ensure you find the perfect private jet charter flight. Book On-Demand Private Jet Charters and Fly With Flexibility!

Choosing an aircraft

Private charters make booking easy by handling the details of picking the right aircraft for your trip. A booking agent will guide you through the options and make recommendations to fit your specific needs.

That said, if you’re someone who likes to dive into aircraft specs, there are a few things to keep in mind. Make sure the aircraft has enough seats for your group and can handle the weight of your luggage or cargo. You’ll also want to verify the range on the aircraft is enough to get from Point A to Point B, unless you don’t mind making a fuel stop.

Most charters feature key information about their fleet on their website so you can explore the options and read up on aircraft details. For additional support, consider reaching out to an aircraft charter broker. A broker will evaluate your budget, preferences, and logistical needs and match you up with the right company as well as the right aircraft.

Flight itinerary

Once your Derby schedule has been set and hotels have been booked, determine which departure and arrival airports make the most sense for your itinerary.

While Louisville International Airport (KSDF) is the closest option to Churchill Downs, it will also likely be the busiest. You may consider flying into Bowman Field (KLOU) or Clark Regional Airport (KJVY) in Indiana. Both airports are within a 20 minute drive to Churchill Downs, and all are prepared every year for the increase in private aviation traffic.

Ground Services and Transportation

Baggage handling, onboard catering, car services, and other amenities are often arranged during the flight booking process. The airport you choose for your departure or arrival will largely determine which amenities are available for your trip.

An FBO is a private terminal for general aviation passengers and crew. When flying on a private charter, passengers enter and exit through the FBO rather than a commercial airport terminal for a more seamless and luxurious travel experience. Your charter company will select a reputable FBO at your destination airport, or provide their recommendation. If there is more than one FBO from which to choose, you can always express your preference to your booking agent or broker.

FBO employees communicate with general aviation pilots to keep things running smoothly behind the scenes. They coordinate parking and fueling for aircraft, transportation for passengers and crew, and other ground services.

For passengers, using an FBO means a much faster boarding process, even boarding directly from the passenger’s vehicle. Private meeting rooms, catering, and other VIP services can be found at these private terminals.

The Derby Experience

For the past 150 years, massive crowds have gathered in Louisville to celebrate colorful fashion, gourmet food, and of course, the adrenaline-inducing sport of horse racing. The Kentucky Derby is an unparalleled tradition and a flamboyant display of southern charm.

Arriving in style

Once on the ground at one of the Louisville airports, private cars chauffeur passengers from their airplanes to Churchill Downs. Traffic patterns in the city are rerouted specifically for this week, as the influx of race attendees overwhelms the usual flow. Schedule some extra time to get to your destination once on the ground, especially if you plan to arrive the day of or day before the main event.

Derby Week events

Although the main race is on the first Saturday in May, the week leading up to it is full of fun preliminary events. The busiest, most exciting days of Derby Week are Thursday, Friday, and Saturday.

Thursday before the Derby, also known as “Thurby,” is dedicated to an interactive showcase celebrating the culture and heritage of Kentucky. This day is marked by local food, live music, and a casual elegance dress code.

If you aren’t able to make it to the Derby on Saturday, the Kentucky Oaks on the Friday before is the next best thing. Considered the sister event to the Kentucky Derby, the Kentucky Oaks is the premier annual race for 3-year-old fillies. This event honors breast cancer awareness, so pink is the theme for attire.

The main event

Saturday is the day everyone knows for the running of the Kentucky Derby. The main event is full of excitement, and attendees dress in their most colorful semiformal wear. Wide-brimmed hats, fedoras, caps, and fasteners can be found on nearly every head at Churchill Downs.

The horses and jockeys competing in the race are among the best in the world. Their teams have traveled from many states and countries to compete in Louisville. Celebrities, business leaders, and even royalty are often in attendance at the races, many participating as horse owners. No expense is spared in preparing the animals and riders for this one-of-a-kind showcase.

After the finish line

When the race is over, the party doesn’t have to end. Stay in Louisville another night to experience more of the city and Derby after-parties, or head back to the FBO for your return flight. Be sure to prebook a car at the time you plan to leave Churchill Downs to avoid getting caught up in the crowds trying to call an Uber.

Planning Ahead

Tickets and accommodations for the Kentucky Derby tend to sell out quickly. Premium options like VIP packages and seats in the coveted Millionaires Row are especially in demand.

For the best pricing and options, it’s recommended to start planning your trip up to a year in advance. Tickets go on sale in the late summer or early fall for the following year, and hotels begin booking up even earlier. If you missed the initial buying window, last-minute tickets can sometimes be found on reputable resale sites like Ticketmaster or StubHub. You may pay a premium for buying closer to the date.

Best Way to Travel to the Kentucky Derby

For optimal privacy, luxury, and efficiency, there’s no better way to travel than private aviation.
